GENERAL PRIVISIONS
1. The "Samurai & Friends" Conference is organized by Office Samurai sp. z o.o.
2. The Conference is scheduled for September 14-15, 2023.
3. The Conference will take place in a face-to-face format at the Dworek in Tomaszowice, near Krakow.
4. The working language of the Conference shall be English.
5. These Regulations are an integral part of the application for Conference participation and are applicable to all Participants, including Speakers.
6. Submitting an application for Conference participation to the Organizer constitutes the Participant's acceptance of these Regulations.
7. The Organizer reserves the right to modify the program, these Regulations, and to change the date of the Conference or cancel it altogether.
8. In the event of Conference cancellation, the Organizer commits to notifying registered Participants via email.
RULES OF THE CONFERENCE
1. Participation in the Conference is by invitation only.
2. Registration for the Conference is complimentary.
3. Travel and accommodation costs are to be covered by the Participant.
4. The Conference is exclusively for CXOs, directors, and managers. The conference allows a maximum of one representative per company, excluding speakers.
5. To participate in the Conference, application through the electronic registration form is required: FORM
6. Participants must register for the Conference by providing their full names. Participants are obliged to provide accurate, identifying personal information.
IMAGE SHARING
1. Photographs will be taken by a professional photographer during the event for the purposes of documenting the event and publishing materials on the Conference-related social profiles. By participating in the Conference, Participants consent to their images being captured in photographs and subsequently used for the aforementioned purposes.
2. The Organizers assure that photos containing Participants' images will only be used in the context of promoting and documenting the Conference. They will not be shared with third parties in a manner that violates Participants' privacy. The Organizers will exercise due diligence to avoid situations where photographs could infringe upon the privacy or image of Participants inappropriately.
3. Participants, whose images have been captured in photographs or videos and used in the above-mentioned manner, can request the removal of their images from publication on the Conference's websites and social profiles at any time. In such a case, the Organizers commit to removing the relevant materials promptly.
PERSONAL DATA PROTECTION
1. The administrator of personal data is Office Samurai sp. z o.o. ul. Wojciecha Weissa 7, 31-339 Kraków, Poland.
2. Personal data will be processed based on art. 6 sec. 1 lit. c and e GDPR for the purpose of organizing the "Samurai & Friends" Conference.
3. The collected data will include identification information, in particular: full name; employment information, specifically: place of employment, position; and contact details, predominantly: e-mail address.
4. Data are obtained directly from the persons they concern, ie participants of the meetings.
5. We do not share your personal information with sponsors or any third parties.
6. The data may be made available only to entities authorized by law or on the basis of concluded contracts for entrusting the processing of personal data.
7. Personal data will be processed for a period of up to one year from the date of the event, while taking into account the provisions of the Act of 14 July 1983 on the national archival resource and archives.
8. The data subject has the following rights:
- access to their data, including obtaining information on the scope of data processed by the Administrator and obtaining a copy of this data;
- modification and correction of your data, including if there are no other legal contraindications to limit the scope of their processing;
- complete deletion of your data ("the right to be forgotten"), unless there are other legal contraindications;
- not to be subject to automatic decisions based on profiling;
- object to improperly processed personal data (including withdrawal of consent);
- lodge a complaint with the supervisory authority.
9. Providing data is voluntary, but necessary to implement the above-mentioned purpose. Refusal to provide them is tantamount to the inability to take appropriate action.
